The Role Charter
2The formal name is Social Media Operations Specialist. The mission: own the social presence and ambassador ecosystem to protect brand trust, grow community engagement, and build scalable creator systems that support revenue — with increasing operational independence over time.
1What You Own, End to EndFive ownership areas — platforms, community, ambassadors, backends, and reporting — plus the clear list of what this role is not.
Social media platforms
- Day-to-day management of Instagram, Facebook, YouTube, and TikTok; week-to-week management of LinkedIn, Pinterest, X, and the rest — secondary platforms are never dormant.
- Posting cadence, stories, community engagement, DMs, and moderation. Brand voice consistency everywhere.
- Monitoring platform health, issues, and account standing — proactively, before leadership has to ask.
- Testing and optimizing headlines, hooks, and formats to improve performance and advertiser readiness.
Community & relationships
- You are the primary brand representative across social platforms.
- Relationships with creators, ambassadors, partner pages, and the broader Italian-American community — trust, responsiveness, and professionalism in every public-facing interaction.
Ambassador & influencer systems
- Outreach and onboarding of ambassadors and creators; coordinating product sends and content requests.
- Collecting, organizing, and maintaining the UGC libraries — everything uploaded to Drive.
- The Influencer Tracker is the single source of truth for creator logistics, payments, performance, and campaign visibility. You own it and keep it current.
- DM at least 5–10 celebrities a month for merch pics, and get ambassadors shooting upcoming drops and hot items.
Platform backends & monetization
- Ownership of Shopify Collabs and the TikTok Affiliate Center.
- Monitoring TikTok Shop account health and product connections; systems functional, compliant, and up to date.
What this role is NOT
- Not the sole graphic designer or video editor, and not full paid-ads management.
- Not carrying total revenue responsibility, and not executing every trend personally.
- The expectation is coordination and ownership — not doing everything alone. Success means platforms run consistently without leadership involvement, and the role matures from execution-focused to system-ownership-focused.
2The Monthly Bar — Minimum DeliverablesThe concrete floor the month is measured against: output, cadence, and reporting.
Content output
- 30+ new memes per month, minimum.
- Original videos (CapCut, AI from blogs, photos-to-video) at least weekly.
- Increased graphic design output: multiple swipes and more info on news post graphics; stories readable in both images and captions.
- Every created graphic uploaded to Drive, and all UGC from social pulled into Drive.
Cadence
- Post daily on the 6–7 main platforms; secondary platforms (LinkedIn, Snapchat, the Facebook group, Threads) get at least weekly posts.
- Run the Facebook group directly.
- Engage via comments on our pages and on other Italian community pages. Post and collab more on the store Instagram.
Ads support (support role only — not full management)
- Boost partnership and store content that is already performing.
- Upload ambassador creatives to the ad account.
- Monitor performance and share algorithm/data insights with the team.
Meetings, media expansion & revenue
- Lead at least one social media meeting a month with your own agenda; participate actively in partner meetings.
- Grow the media pages/IP (Uncle Pete, IFD, Mag Italy, the meme pages) — manage directly or delegate. Support ad-sales lead generation and partner retention.
- Tie every project to a clear revenue outcome (store or sponsorship); any project requiring funding gets prior approval. The company goal: 30% of revenue driven by social.
- Target: media meetings and channels run without the CEO by Q4.
Reporting
- Weekly Slack report on Mondays; quick EOD updates Monday–Friday.
- Monthly report due the 1st of the month.
- Action/status reports for ad clients and collaborators.
- Record Loom SOPs for all your processes over time, so the media side can scale beyond one person.
Posting & the Pipeline
2You are the last gate before anything reaches the audience — and the sender of record for creator outreach. The assistant preps; you verify and post.
1The Posting Gate & Creator OutreachReceipt-QC deliveries the day they land, confirm before posting every day, send the outreach packs, and schedule approved UGC within 48 hours.
The posting gate
- Receipt QC: spot-check the Editor's deliveries the day they land, not on posting day — open the file, confirm audio and captions, confirm it matches the calendar entry. Flag problems the same day so there is time to fix.
- Daily pre-post confirmation: before posting each day, drop the video in the group chat — "Posting this today, confirm" — and wait for the thumbs-up from the CEO or the Head of Product. Ten seconds of friction, zero wrong posts.
- After posting, mark the calendar entry posted and feed performance notes (hook retention, comments, saves) into the tracker.
- Brand accounts keep it clean: no vulgar hooks or opens on reposted creator content — ask the creator for a clean version.
Creator outreach — you are the sender
- The assistant DMs you the day's best five reels as numbered, click-ready blocks. You send the DMs from the brand account, confirm back "DM sent" per creator, and answer their follow-up checks — the pipeline stalls if the pack sits unread.
- Approved UGC gets a post date within 48 hours of approval; nothing reposts without the signed JotForm rights on file, and every repost carries the creator's tag and credit.
- Creator questions about payment, exclusivity, usage terms, or takedowns come to you — the assistant never improvises those answers.
2Promoting Blog PostsEvery published blog gets pushed: the Italian-blogs side Instagram, built for engagement, with the link in bio doing the linking.1 video
- The side Instagram page exists just for the blogs — its link in bio maps every post to its specific article, which the main page can't do.
- Don't just screenshot the blog: rebuild the post for engagement. Punch up the title where it helps, use a carousel, and put the strongest image first — the better the post does, the more people read.
- The house style: tweet the blog first (title + image + link, no bare link-preview embeds), screenshot the tweet from the app, crop it tight to the logo, and post that — every post on the page matches that look.
- Schedule through Later on the blogs page: drop the cropped screenshot, write a short caption ending in "link in bio", and attach the article link so the bio link updates automatically when it posts.
- Get in the rhythm: when a blog publishes, its promo post is scheduled within the hour — writing them and promoting them is one job, not two.

Meme Sourcing & Remakes
1The page grows by posting proven content every day. Other pages do the testing for us — the job is spotting what beat their average, and remaking it as our own.
1Find Proven Concepts, Remake Them OursJudge every post against its page's average like count, mine four source pools, and remake concepts — never repost stolen content.1 video
The above-average rule
On any page, scroll until you can estimate the average like count, then flag only posts meaningfully above it. A 900-like post on a page averaging 400 is a signal; a 2,000-like post on a page averaging 20,000 is a skip. In December (or any peak month), raise the bar: pull each page's top posts of the whole year, not just the recent above-average ones.
The four source pools
- Our own archive: every meme we've posted, foldered by year, with winners promoted into the proven-memes folder. Proven concepts get re-run; near-misses get remade with a different background, person, or phrasing — the concept was good.
- Same-niche pages (Italian-American pages and similar): what beats their average works on our audience too. Flag it to remake, or message the creator for permission to post it.
- Different-niche meme pages (other cultural pages, zodiac pages, TV-show pages): find their best-of-the-best and translate the concept to Italian — swap the food, the word, the setting. A proven format travels across niches.
- Our own Facebook group (260K+ members): posts beating the group's average like count are our audience directly voting. Ask the poster for permission or remake the concept.
The line between remaking and stealing
- Remaking a concept — building our own version of a proven idea, our image, our phrasing — is the job.
- Reposting someone's actual content with their watermark or logo stripped out is never acceptable. Either get permission (and credit them), or remake it as our own.
- Credit generously when posting someone's content with permission — tag the creator.
Batch this: an ideas folder with thousands of saved concepts means never scrambling for the day's post. The page succeeds because every post already proved itself somewhere — we're just translating it.

Checks for success
Before anything ships, run through this list.
- Are all main platforms posted today, and no secondary platform dormant past a week?
- Is the meme count on pace for 30+ this month, with everything uploaded to Drive?
- Are 5–10 celebrity/ambassador DMs out this month, and the Influencer Tracker current?
- Was every delivery receipt-QC'd the day it landed?
- Did today's post get the same-day confirmation before going up?
- Was the day's outreach pack sent, with per-creator confirmations back?
- Does every approved video have a post date within 48 hours?
- Is every posted meme a remake of a proven, above-average concept — never stripped content?
